Annual General Meeting (AGM) and Calendar Draw

Wednesday 28 March 2018, Wing Theatre (1400-1600 hrs)

In March/April, the Cottage Club holds their Annual General Meeting (AGM) and Calendar Draw.  The pre-existing executive will conduct a short meeting based on club operations.   Additionally any open executive positions will need filling, and if you are thinking of running, please announce your candidacy at this meeting.  The second half of the meeting is the draw.  At this time the membership pays their annual dues for the upcoming year of 2018-2019.   As a paid member, your name goes into a draw for one week during the peak season, or another date of your choosing during the non-peak period.   It’s helpful to have predetermined dates written down or arranged into a first choice, second choice, third choice list etc.

The peak season (prime time) commences the last Friday of June, and concludes the first Friday of September.    The remainder of the year is considered the non-peak period (or off-season).

In order to insure regular members get an opportunity to book one week during peak season, the rental calendar is closed 31 March until the AGM.   As names are drawn, you will have a choice of one week during the peak season, or another date of your choice (off-season) in one cottage based on availability.

If a member cannot attend the AGM, they can pre-pay their membership dues and enter the draw by proxy.   For more information on pre-paying your 2018-2019 membership. Please note that these proxy forms are only valid when we receive your 2018-2019 membership fee, and $50 security deposit (separate cash or cheque).  Cheques are to be payable to “22 WING BASE FUNDS”.   You may also write “Cottage security deposit” in the memo field.

PROXY FORMS

Bookings / reservations follow the fiscal year calendar, and all memberships expire 31 March.    Your $50 security deposit is required at the time of booking, so please bring your cheque book with you.

  • NOTE:  Some members may wish to book more than one once or might have other dates in mind, but until the AGM concludes, we ask you wait patiently until the meeting is over.   After the AGM concludes, the entire calendar opens up to a first come first serve basis.   Respectfully, peak season bookings are by the week (Friday to Friday), but off-season may be rented by the day, a combination of days, or weekly etc.   Again it’s all based on the calendars availability.
  • NOTE:  Didn’t get what you were looking for?   Sometimes that happens, and as fair as we try to make the AGM / Draw, some members first, second or third choices are already unavailable by the time their names are drawn.   We do offer a waiting / cancellation list, and you are more than welcome to have your name added to that list.  Nobody is automatically added, so if you would like to be placed on the waiting / cancellation list, you must indicate so!  Should one of your preferred dates become available we will contact you and offer you the opportunity to book it first.
